What a rent receipt is, and when you need one

A rent receipt is a signed acknowledgement from your landlord that you paid rent for a given month. It is the single most important document for claiming House Rent Allowance, because your employer cannot allow the HRA exemption in your salary without proof, and the income-tax department can ask to see the receipts if your return is picked for review.

You need receipts for every month you claim. Most employers collect them once or twice a year, and you also keep a set for your own records in case of a later query.

The rules that make a receipt valid

Three details decide whether a receipt holds up.

  • The landlord’s PAN, if your annual rent is over 1,00,000. That works out to about 8,333 a month. Above that threshold you must report the landlord’s PAN to your employer. If the landlord genuinely has no PAN, you need a signed declaration from them to that effect instead.
  • A revenue stamp for cash payments over 5,000. A one-rupee revenue stamp goes on the receipt and the landlord signs across it. Payments by cheque, UPI, or bank transfer do not need a stamp, because the bank record is itself proof.
  • The core details. Your name, the landlord’s name and signature, the full address of the rented home, the amount, the month it covers, and the date.
How HRA and rent receipts fit together
Your HRA exemption is the smallest of three amounts: the actual HRA in your salary, your rent minus 10 percent of your basic salary, and 50 percent of basic if you live in a metro (40 percent elsewhere). Rent receipts are the evidence behind the second figure. So the receipt does not set your exemption, your rent and salary do, but without receipts your employer will not grant it and the department can disallow it. Paying rent to family

You can claim HRA on rent paid to a parent or relative, but only if the arrangement is real. The home must actually be owned by them, you must genuinely pay the rent, ideally by bank transfer so there is a trail, and they must declare that rent as income in their own return. A stack of receipts with no matching payments and no declared income is exactly what a tax officer looks for, so do not treat family rent as a paper formality.

How to use the receipts

Print or save the set for the months you are claiming, get your landlord to sign each one (across the revenue stamp where cash crossed 5,000), and submit them to your employer in the window they set, usually around December to February. Keep your own copies, along with proof of payment, for at least a few years.
